When you save a setting on the dashboard, the bot usually applies it within a second, without restarting. This page explains how the website and the bot stay in sync, the delay module by module, and what to do if a change doesn't seem to apply.
It's for any administrator wondering "when does it kick in?", and for the team for the technical details.
A shared database
The website and the bot don't talk to each other directly: they share the same database and the same Redis server (an in-memory cache that also works as a messaging system), through a common library, the config service.
- The database holds your server's whole configuration. What you save on the website, the bot reads from the same place.
- Redis keeps a fast copy (a cache) of the most-read settings, and carries small messages between the website and the bot.
- The website also reads Discord directly: your server list, the channels, roles and emojis shown in the pickers. It only creates a few things itself (for example a channel when you click a create button); everything else (messages, panels, sanctions, commands) is done by the bot.
What happens when you save
- Save: the website stores your configuration in the database and clears the matching cache.
- History: it adds a row to Configuration Logs, with your name and the before / after.
- Message to the bot: for most modules, it publishes a
configUpdatedmessage on Redis with the configuration type and the list of changes. - Bot reaction: the bot clears its own caches for the server, reads the configuration again, does what the module requires (register commands, post a panel, apply raid mode…) and posts a "Configuration Update" message in the log channel, with your name and Web Dashboard as the source.
- Live update: the website also publishes an event specific to the page; every tab open on that page updates (see below).
Module by module
Applied immediately, with a message to the bot
| Dashboard page | What the bot does | Delay | Trace on Discord |
|---|---|---|---|
| Basic configuration (essential settings) | Reloads language, timezone, separator and colour. | Immediate | One message per changed setting in General Server Logs. |
| Basic configuration (emergency mentions) | Reloads the alert recipients. | Immediate | Message in General Server Logs. |
| Channels | Reloads the bot's channels and drops its copy of the server's Discord data. | Immediate | One message per changed channel. |
| Welcome | Reloads channel, message, image and join roles. | Immediate | Messages for the channel, roles, message and image. |
| Levels | Reloads the configuration, adds or removes /rank, /modify-xp and /reset-levels. Turning the system off cancels running XP giveaways. | Immediate (commands: a few seconds) | Messages for activation, XP, channel, rewards and image. |
| Flames | Reloads the configuration and the cached flame data. | Immediate | None. |
| Anti-Raid | Reloads the protections, forbidden words and anti-raid channels. | Immediate | One message per change in Anti-Raid & Security Logs. |
| Security: raid mode | Turns raid mode and the Discord safety actions (Community server) on or off. | Immediate | Message in Anti-Raid & Security Logs. |
| Security: whitelist | Reloads the whitelist. | Immediate | None (except an app added from the Anti-Raid page). |
| Other commands | Registers or removes the pack's commands with Discord. | A few seconds | Message in General Server Logs. |
| Tickets (configuration) | Posts, updates or removes the ticket panel. | A few seconds | The panel in the chosen channel. |
Read straight from the database
For these pages, the website clears the shared cache when saving: the bot reads the new version the next time it needs it.
| Page | Taken into account | Trace on Discord |
|---|---|---|
| Goodbye, Bump | Immediately (the website notifies the bot, but it has nothing more to do). | None. |
| Word reaction | On the next message. | None. |
| Temporary channels | On the next message. | None. |
| Temporary voice channels | On the next voice join. | None. |
| Members & XP | Immediately, without a level-up announcement or role reward. | None. |
Checked on a schedule
| Page | When the bot checks | To speed things up |
|---|---|---|
| Social networks | YouTube every 2 hours, Twitch every 30 seconds (default settings). | Check & send: immediate. |
| RSS feeds | Every minute, for feeds whose interval has elapsed. | Check & send: immediate. |
Sent to the bot as an action
| Page | What happens | Delay |
|---|---|---|
| Role Reactions | The bot posts or edits the panel, adds the reactions or buttons, then notifies the website, which updates the list. If posting fails on Discord's side, the website shows no error. | A few seconds |
| Ticket handling | Messages, renaming, closing, reopening and sanctions are carried out by the bot; the ticket thread updates live. | A few seconds |
Live updates on the website
While a dashboard page is open, the website keeps a connection open with the server (Server-Sent Events) and receives these events:
| Event | What you see |
|---|---|
| Another administrator saves the same configuration page | The page updates and shows "… updated by name". |
| The bot joins or leaves the server | The "Dispatch.IO™ is not on this server" screen gives way to the page, or the other way round. |
| Your roles change on a server | Your server list and the menu update. |
| Raid mode changes | The server home banner and the Security page update. |
| Activity on the server (commands, messages, voice) | The Statistics page reloads its figures (if Live SSE is on). |
| New message or status change on a ticket | The ticket handling workspace updates. |
| Payment or subscription change | The shop and plans update. |
| New notification | The notification bell updates. |
Note
The automatic end of raid mode doesn't trigger an event: reload the Security page to see the current state.
The other way round: from Discord to the website
- Settings changed with
/config: they're saved in the same database, so they show on the website on the next page load (no live update). They don't appear in the website's Configuration Logs, only in General Server Logs on Discord. - Channels, roles, emojis, bot permissions: the website keeps a copy of the server's Discord data for 30 minutes. To see a channel or role you just created right away, click Sync Discord Data at the top of the page (at most once a minute; otherwise a "Cooldown active" message appears).
- Member and bot lists in the pickers: kept for 30 minutes; only the first 100 members are offered (you can always paste a Discord ID).
- Audit logs and Configuration Logs: data kept for 30 seconds, pages refreshed every 15 seconds.

Previews, tests and checks
Some actions ask the bot to do something right now and wait for its answer:
| Action | What the bot does | Good to know |
|---|---|---|
| Card previews (Welcome, Goodbye, Levels, Bump) | Draws the image with your settings and sends it back to the website. | The website waits 8 seconds at most: if the bot is offline, the preview fails. |
| Test message (Welcome, Goodbye) | Sends a real message in the configured channel. | Once a minute per server. |
| Check & send (Social networks, RSS feeds) | Checks the channel or feed immediately. | 30, 15 or 10-minute cooldown depending on the plan. |
If a change doesn't apply
- Check that the bot is online on your server: if the bot restarts at the moment you save, the setting is in the database and will be read (right away or within an hour at most, depending on the module), but one-off actions (log message, command registration, panel posting) aren't replayed. Save again.
- Look at Configuration Logs: if your change isn't there, it wasn't saved.
- Check the bot's permissions on Discord: a setting can be saved but impossible to apply (for example without Manage Roles). See Permissions and roles.
- A channel or role missing from a picker? Click Sync Discord Data.
- Social networks and RSS: wait for the next round or use Check & send.
- New commands not showing: reload Discord (Ctrl + R).
